Virtual Intercultural Communications Program Manager

Objectives 

Intercultural Program Managers are responsible for successfully managing intercultural training programs from authorization to billing and to ensure high quality of program set up and training delivery. They need to have ongoing communication with clients, trainers and SMEs and international assignees to support the delivery of assignment related Intercultural Training programs and co-ordinate with the other Learnlight teams to assure we meet and exceed training objectives. 

The tasks involved are in the following areas: 

  • Managing clients on a day-to-day basis 
  • Providing assignee support 
  • Using the LL platform to manage programs 
  • Reporting on key performance metrics 
  • Supporting the team and the wider business with other administrative tasks 

 

Responsibilities 

Managing Programs  

  • Receives and activates authorizations/initiations 
  • Makes contact with assignee, sends PPQ, arranges and conducts interviews 
  • Selects trainers based on PPQs and interviews 
  • Serves as main point of contact with trainers with regard to program set up and logistics 
  • Selects Business and Daily Living SMEs 
  • Communicates with trainer and SMEs to make sure all have necessary contact information 
  • Ensures program evaluations are sent, gathered and distributed 
  • Understands program requirements, conditions and policies agreed with the client 
  • Understands department workflows and following them for tasks 
  • Provides support to our sales team to maximise opportunities with clients and maintain a successful relationship 
  • Offers solutions to clients with any challenges that may arise 

Assignee Support  

  • Communicates with assignees 
  • Shows empathy with assignees 
  • Provides ongoing assignee support through their program 

Use of Learnlight platform and Databases  

  • Demonstrates agility and autonomy with the general use of the LL Platform 
  • Is meticulous in keeping the information updated in LL platform 
  • Develops knowledge of the different functions of the LL Platform 
  • Shows agility and autonomy with the general use of the internal database of the company  
  • Is collaborative in giving feedback about the platform and proposing changes 
  • Develops competence in using the Program Management SharePoint site 

Reporting  

  • Reports on ongoing key Management Information  
  • Generates key reports with accurate information and according to the general template 
  • Delivers reports in a timely manner 
  • Provides pro-active support for any challenges in reports 

Administrative Tasks  

  • Collects of trainer FTFE documents  
  • Delivers of the respective documentation to the client 
  • Reviews of billing attachments with their respective invoices 

 

Job Requirements, Skills, and Experience 

  • University degree 
  • Minimum two years’ experience in Intercultural operations, training management, international human resources or international mobility 
  • Experience of living and working internationally would be an advantage 
  • Good interpersonal skills to interact and work with the team and the wider business virtually and F2F  
  • Ability to work effectively with colleagues of different cultural backgrounds 
  • Sensitivity to the needs of culturally diverse assignees and their families 
  • Courtesy, empathy and kindness in dealing with our clients and assignees 
  • Excellent organization and planning of work; detail oriented 
  • Excellent communication skills 
  • Excellent time-management skills 
  • English native level speaker. Other languages will be a plus 
  • Advanced level of Office (mainly word, excel and PowerPoint) 
  • Good general IT skills with a pro-active approach to learning new systems  
  • Have a global business vision of the wider Learnlight team  
  • Commitment, enthusiasm & initiative

  • Contract Type: Freelance/Private Contractor/Self-employed  
  • Schedule: Full-time (Asian time zone)   
  • Location: Online/Virtual/Remote
